Epic Downtime Tips for Anesthesia

1) Utilize paper charting for anesthesia records and procedures during Epic Downtime.  Paper records for all phases of care as well as paper procedure notes can be found in a binder in the cabinet above the D1 computer.

2) If at all possible, complete the entire record for a particular phase of care (preop, intraop) in one format.  Avoid switching between paper and Epic mid-case. 

  • For scheduled/expected downtime, if a case starts close to expected downtime start, begin the case using a paper record
  • It is okay to have a paper intraop and an Epic preop as long as each one is complete.  

3) Vitals are stored for several hours on the Philips monitors.  For short downtimes, you may be able to import those vital signs into your Epic intraop record after the system comes back up.  

4) If relevant, after downtime, go into the Intraop record, select "Events" and select "Charted on Paper" from the "Admin" tab

Note: Epic recommends using paper charting during both daylight savings time switches.  Otherwise the intraop record will contain inaccuracies in med totals for continuous infusions, anesthesia event times, anesthesia billing time, etc.
